Purpose of the Job
Provide full spectrum of secretarial and administrative support to the Managing Director of Beverage in an efficient and timely manner.
Responsibilities
- Provide full spectrum of executive secretarial support to the Managing Director of Beverage
- Schedule the appointments and support meeting arrangement, including managing schedules, securing venues, preparing meeting agendas, coordinating meeting participants (internal and external), and managing meeting reminder as needed. Follow up with meeting minutes where appropriate
- Assist in preparation of presentation materials, reports, internal and external communications
- Handle correspondence directed to management
- Responsible for visas application, travel arrangements (both domestic and international travel), including flight booking, hotel reservations and transportation as necessary
- Process invoices and reimbursements in a timely manner according to company policy
- Serve as the key liaison between various internal and external stakeholders, ensuring timely and effective communication
- Provide administrative support to Beverage management team as required, including but not limit to appointment scheduling and meetings coordination
- Coordinate and assist in the execution of company events and staff activities as assigned by management and HR team
- Handle ad-hoc tasks as required
Requirements
- Bachelor Degree or above
- 8 years or above relevant experience in serving senior management
- Good team player. Excellent communication and interpersonal skills, confidently interface with all levels of staff and senior stakeholders professionally
- Able to work independently with minimal supervision. Ability to multitask and work under pressure
- Logical, good judgement in addressing multiple priorities concurrently
- Proactive and strong administrator and organiser, with excellent attention to detail
- Strong written and verbal communication skills in English and Chinese (Cantonese and Mandarin)
- High proficiency in MS Office including Word, Excel, PowerPoint and Chinese Word Processing
